This Privacy Policy sets out our commitment to protecting the privacy of your personal information that we collect through www.helen-fitness.com, and www.womanlyartofleadership.com (Sites) or directly from you.

Please read the Privacy Policy carefully. Please contact us if you have any questions. You providing us with personal information indicates that you have had sufficient opportunity to access the Privacy Policy and that you have read and accept it. You can unsubscribe at the bottom of any email from Helen Fitness, or contact us using the form on the Site.

If you do not wish to provide personal information to us, then you do not have to do so, however it may affect your use of these Sites or any products and services offered on it.

Our Sites are not intended for use by children and as such we do not knowingly collect data relating to children.

1. Collection of personal information

Personal Information: The type of information we collect may include:

  • your name, e-mail address, contact details and communication preferences when you complete forms on our Sites;

  • a range of information about you in our intake forms and applications which are optional and only used to help you benefit from our products and services;

  • your online browsing activities, your IP address (computer internet address) and your approximate location (as determined by your IP address) in conjunction with Google Analytics.

Your use of our Sites: As with most online businesses, we may log information about your access and use of our Sites, including through the use of Internet cookies, your communications with our Sites, the type of browser you are using, the type of operating system you are using and the domain name of your Internet service provider.

Your opinion and feedback: We may contact you to voluntarily respond to questionnaires, surveys or market research to seek your opinion and feedback. Providing this information is optional to you.

2. Use of personal information

We collect and use the information for purposes including:

  • to provide information, support and services to you;

  • to manage customer service interactions with you;

  • to subscribe you to our mailing list and send you relevant information by e-mail;

  • to analyse how our website is used, so that we can improve it and report anonymised visitor numbers and analysis for performance reporting.

3. Disclosure of Personal Information

We will never sell your personal data. We share limited data for limited purposes. There are three different sets of data sharing involving personal data collected through our Sites:

  • Cookie/visitor behaviour – we share this information with Google Analytics and SquareSpace. Further details on our use of cookies can be found in Section 6 below;
  • Contact information you provide for our mailing list – we share this information with ActiveCampaign, LLC, the third party mailing list software we use. Their Privacy Policy can be accessed here;
  • Contact information you provide in booking an appointment - we share this information with Acuity Scheduling, inc, the third party booking software we use. Their Privacy Policy can be accessed here;
  • Contact information you provide to seek help, support, information, provide feedback, or make a complaint – we store this in computer systems provided by third parties for processing, storage and archive purposes.

We only do this if the third party has agreed to comply with the standards in our Privacy Policy.

If there is a change of control of our business or a sale or transfer of business assets, we reserve the right to transfer to the extent permissible at law our user databases, together with any personal information and non-personal information contained in those databases. This information may be disclosed to a potential purchaser. We would seek to only disclose information in good faith and where we have sought to maintain confidentiality. Prior to such change of control or sale or transfer of business assets, we will seek your consent to disclosing your personal information for these purposes.

4. Your Rights

Choice and Consent: Providing us with your personal information is optional to you. You can choose not to provide personal information. When you provide us with your personal information, you consent to the terms outlined in this Privacy Policy.

Restrict: You may choose to restrict the collection or use of your personal information. If you have previously agreed to us using your personal information for marketing purposes, you may change your mind at any time by contacting us at the email address listed in this Privacy Policy.

Access: You have the right to request details of personal information that we hold about you. Under the EU General Data Privacy Regulation (GDPR), you have the right to obtain from us the erasure of your personal data without undue delay.

Correction: You have the right to correct personal information that we hold about you, including information which is inaccurate, incomplete or out of date. We rely in part upon customers advising us when their personal information changes. We will respond to any request within a reasonable time. We will promptly correct any information found to be inaccurate, incomplete or out of date.

Complaints:  You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data infringes the GDPR. The French supervisory authority is the Commission Nationale de l’Informatique et des Libertés (CNIL) and you may make a complaint here.

Unsubscribe: To unsubscribe from our e-mail database, or opt out of any communications, please contact us, with “Unsubscribe” in the subject line of the e-mail.

5. Storage and Security

We take reasonable steps to ensure that the personal information collected from you is accurate, up to date, complete and stored in a secure environment and accessed only by authorised personnel.

We have put in place procedures to safeguard and secure the information and protect it from misuse, interference, loss and unauthorised access, modification and disclosure. 

We only keep your data for as long as we need to. More specifically:

  • website visitor data using Google Analytics: we will retain your data for 36 months;

  • mailing list subscription: we will retain this data until you unsubscribe from our mailing list. Every e-mail you receive from us will have a link allowing you to easily unsubscribe;

  • customer enquiry information: we will retain this for not more than 36 months after you last contacted us. We only keep personal data for the current financial year and two prior financial years.

6. Cookies

We may use cookies on these Sites from time to time. Cookies are text files placed in your computer's browser to store your preferences. Cookies, by themselves, do not tell us your e-mail address or other personally identifiable information. However, once you choose to furnish the Sites with personally identifiable information, this information may be linked to the data stored in the cookie.

From time to time we test new features and make subtle changes to the way that the site is delivered. When we are still testing new features these cookies may be used to ensure that you receive a consistent experience whilst on our Sites, whilst ensuring we understand which optimisations our users appreciate the most.

As we sell products it is important for us to understand statistics about how many of the visitors to our Sites actually make a purchase and as such this is the kind of data that these cookies will track. This is important to you as it means that we can accurately make business predictions that allow us to monitor our advertising and product costs to ensure the best possible price.

We also use social media buttons and/or plugins on our Sites that allow you to connect with your social network in various ways. We regularly review our use of personal data to ensure that we continue to be fair, transparent, safe and legal. We sometimes change software or technologies, or how we work, and this may result in us changing the data we collect and/or how we use it. We will only use your data for the purposes set out above. If we want to use your data for any other purpose we will contact you and seek your express permission before we conduct any such processing.

We will always seek to minimise the amount of data we collect and use, and to only keep it for as long as we need to.
